Period: January 1, 2025 – January 15, 2025
Activity Area: Program Planning and Community Partner Outreach
1. Community Needs Assessment
- Task: Conduct a brief needs assessment to identify community organizations, NGOs, schools, shelters, and healthcare centers that require volunteer support in 2025.
- Method: Online research, phone interviews, review of local directories and government listings, previous SayPro partner data.
- Deliverables: List of 30–50 potential community partners categorized by sector (education, health, social services, youth development, etc.).
2. Partner Outreach Preparation
- Task: Develop outreach materials including:
- Partner introduction letter (digital and printable)
- SayPro’s 2025 program overview and objectives
- Volunteer placement benefits for organizations
- Contact script for calls/emails
- Deliverables: Completed outreach toolkit including template emails, PDF brochures, and FAQs.
3. Initial Contact and Engagement
- Task: Initiate contact with identified community organizations:
- Prioritize based on alignment with SayPro mission and urgency of volunteer needs
- Conduct initial phone calls/emails
- Set up in-person or virtual meetings for deeper discussion
- Goal: Reach out to at least 30 potential partners during the period.
- Deliverables: Outreach tracker (organization name, contact info, date contacted, response status, notes).
4. Partner Onboarding Framework Development
- Task: Create a standardized onboarding framework for confirmed partners, including:
- Needs assessment form
- Volunteer role description template
- Agreement template (MoU or informal partnership doc)
- Orientation package for host organizations
- Deliverables: Onboarding toolkit finalized and ready for use by Jan 15, 2025.
5. Internal Team Coordination
- Task: Hold internal SayPro planning meetings to:
- Align program team on outreach goals and responsibilities
- Train team members on using outreach and onboarding tools
- Assign organizations for follow-up and partnership development
- Deliverables: Meeting minutes, team action plan, and follow-up assignments.
6. Report and Review
- Task: By January 15, submit a detailed status report summarizing:
- Number of organizations contacted and responses received
- Confirmed partnerships
- Pending follow-ups
- Lessons learned and next steps
- Deliverables: Program Planning and Outreach Report – Phase 1.
