🔹 SayPro Tasks to Be Done
1. Confirm Final Preparations with Community Partners
- Task: Re-confirm logistics and expectations with each community partner prior to student deployment.
- Actions:
- Verify project start dates, locations, and times
- Confirm supervision and point-of-contact at each site
- Revisit volunteer roles and responsibilities
- Deliverables: Finalized Community Partner Confirmation Log
2. Facilitate Project Kick-Off Events
- Task: Organize and oversee official launch events or meetings for each service project.
- Purpose:
- Introduce students to their assigned community partners
- Review objectives, timelines, and working procedures
- Create a shared sense of mission and excitement
- Format: Can be on-site meetings, virtual briefings, or combined team orientation sessions
- Deliverables: Kick-Off Event Reports and group photos (if applicable)
3. Distribute Student Deployment Kits
- Task: Provide each student with the tools and resources needed to start their service project.
- Kit Includes:
- Volunteer ID or name badge
- Project brief
- Weekly logbook or timesheet
- Contact card for SayPro support
- Safety guidelines and community code of conduct
- Deliverables: Distribution log for student deployment kits
4. Establish Ongoing Support Channels
- Task: Set up communication and support mechanisms for students and partners.
- Support Tools:
- Dedicated WhatsApp group or email thread per project group
- Weekly office hours for check-ins and advice
- Emergency support contact (hotline or point person)

5. Conduct Regular Site Visits and Virtual Check-Ins
- Task: Monitor project progress by engaging with students and partners on-site or virtually.
- Frequency:
- At least one in-person visit or virtual check-in per project every 1–2 weeks

- Partner satisfaction
- Challenges encountered
- Emerging needs or adjustments

6. Facilitate Peer Reflection and Support Sessions
- Task: Create space for students to reflect, share experiences, and support each other.
- Session Format:
- Weekly or bi-weekly group discussions (virtual/in-person)
- Guided by reflection prompts (e.g., “What have you learned so far?”, “What has surprised you?”)
- Purpose: Build critical thinking, collaboration, and emotional resilience
- Deliverables: Reflection Session Summary Notes or Audio Clips
7. Provide Ongoing Mentorship and Problem-Solving Support
- Task: Assign SayPro mentors to check in with student groups and address any issues.
- Support Areas:
- Time management
- Conflict resolution
- Clarifying roles or project scope
- Emotional support

8. Track Progress and Impact
- Task: Maintain up-to-date tracking of student activities and community impact.
- Tools:
- Student timesheets

- Weekly progress snapshots (milestones reached, tasks completed)
- Deliverables: Mid-project Monitoring Dashboard
9. Document Success Stories and Visual Media
- Task: Begin collecting stories, quotes, and visual content for project documentation and promotion.
- Includes:
- Student and partner testimonials
- Photos or short video clips of activities
- Notable challenges and how they were overcome
- Deliverables: Media Content Folder and Draft Impact Story Outlines
10. Prepare for Project Closure and Evaluation
- Task: Begin planning for the next phase (Feb 21 onwards), including project wrap-up and evaluation.
- Actions:
- Schedule closing meetings
