Focus Area: Registration and Participant Management
Objective: Manage participant registrations and ensure smooth, clear communication to facilitate a successful event.
Key Responsibilities:
- Set Up Registration System
- Select and configure a suitable registration platform (e.g., Google Forms, Eventbrite, SayPro Portal).
- Include essential data fields: full name, contact details, organization, dietary needs (if applicable), and any session preferences.
- Promote Registration
- Distribute registration link via email, social media, and SayPro website.
- Set and communicate registration deadlines clearly.
- Monitor and Track Registrations
- Maintain a real-time tracker of participant numbers.
- Ensure participant data is stored securely and complies with data protection policies.
- Confirm Registrations
- Send automated or manual confirmation emails upon registration.
- Include event details: date, time, venue/online access info, and contact for inquiries.
- Pre-Event Communication
- Send reminder emails (1 week and 1 day before the event).
- Provide logistical information, schedules, and expectations.
- Support and Troubleshooting
- Respond to participant queries or technical issues during the registration period.
- Maintain an FAQ or help guide if needed.
- Prepare Registration List and Materials
- Generate final list of confirmed participants.
- Print or digitize sign-in sheets, badges, or attendee packets as necessary.
