Technology and Platform Setup

Objective: Set up and test all necessary technology to ensure a seamless, accessible, and engaging experience for virtual (and hybrid, if applicable) participants.

Key Steps:

  1. Select and Configure Platforms:
    • Choose reliable platforms for virtual participation (e.g., Zoom, Microsoft Teams, or Webex) based on event needs, expected attendance, and interactivity features.
    • Create and configure meeting/webinar links for all online sessions, including breakout rooms if needed.
    • Set up host permissions, co-host assignments, screen sharing, recording settings, and participant controls.
  2. Test All Technology in Advance:
    • Conduct full technical run-throughs for each session, including screen sharing, audio/video checks, breakout room functionality, and live polling (if used).
    • Confirm bandwidth and connection stability for both hosts and facilitators.
    • Test all equipment being used on-site for hybrid sessions (cameras, microphones, projectors, streaming devices, etc.).
  3. Prepare Virtual Engagement Tools:
    • Set up interactive features like live polls, Q&A functions, shared documents, and whiteboards.
    • Provide facilitators with clear instructions on how to use these tools effectively.
  4. Provide Access and Instructions:
