Post-Event Responsibilities: Feedback and Evaluation
Objective: Collect and analyze participant feedback to assess the overall success of the event and identify opportunities for improvement in future programming.
Key Responsibilities:
Design and Distribute Feedback Tools:
- Create a well-structured feedback survey (online form or printed) to be shared with all participants—virtual and in-person—within 24–48 hours of the event.
- Include a mix of quantitative (e.g., rating scales) and qualitative (e.g., open-ended questions) items.
Suggested Survey Topics:
- Overall event experience
- Session relevance and engagement
- Quality of facilitators and speakers
- Effectiveness of virtual platform or venue logistics
- Community-building impact
- Suggestions for future topics or improvements
Collect Feedback Across Audiences:
- Send follow-up emails with survey links and a thank-you message for attending.
- Offer feedback collection via QR codes or in-person forms at the event’s end.
- Encourage responses with optional incentives (e.g., entry into a giveaway, early access to future events).
Analyze Results:
- Compile all feedback into a summary report.
- Highlight key insights: strengths, areas for improvement, patterns across sessions, and any standout testimonials.
- Use charts or visuals to present data in a clear, actionable format for leadership and stakeholders.
Facilitate Internal Review:
- Hold a debrief meeting with staff, facilitators, and volunteers to:
- Discuss what went well and what could be improved
- Review participant feedback
- Capture internal lessons learned
Close the Loop with Participants:
- Share a brief “Thank You + What We Heard” follow-up message summarizing the feedback results and planned improvements.

Outcome:
