1. Event Registration and Information Management
Objective: Manage participant registration and collect essential information to ensure smooth event planning and execution.
1.1 Develop a Registration System
- Set up an online registration platform (e.g., Google Forms, Eventbrite, SayPro internal portal).
- Ensure the platform is user-friendly, mobile-compatible, and accessible to all participants.
- Include clear event details (date, time, venue, purpose) within the registration form.
1.2 Collect Participant Information
Gather essential data to aid in event planning:
- Full name, age, and contact details (email, phone number)
- Organization or affiliation (if applicable)
- Dietary preferences and allergies
- Accessibility needs (mobility, visual, hearing)
- T-shirt size (if event merchandise is included)
- Workshop/session preferences or RSVPs for specific activities
- Consent for photography and video usage (media release)
1.3 Communication and Confirmation
- Send immediate confirmation emails upon registration.
- Provide follow-up emails or SMS reminders leading up to the event with:
- Schedule or itinerary
- Venue address and directions
- What to bring (e.g., ID, notebook, etc.)
- Contact info for questions or support
1.4 Manage Registration Data
- Organize registrant data in a secure and confidential manner.
- Use spreadsheets or CRM tools to track:
- Total registrants
- Attendance caps and waitlists
- Demographic summaries (e.g., age groups, location breakdowns)
1.5 Coordinate with Other Teams
- Share registration lists with logistics, hospitality, and programming teams.
- Use data to:
- Prepare name tags and materials
- Arrange seating and room assignments
- Plan for food and venue capacity
1.6 Troubleshooting & Support
- Assign team members to assist with registration issues (e.g., duplicate entries, tech errors).
- Create a helpdesk email or hotline number to respond to registrant questions.
