Agenda and Session Planning
Objective: Organize the event schedule and ensure all sessions align with the eventโs goals and provide meaningful value to participants.
Key Responsibilities:
- Define Event Goals and Themes
- Clarify the overarching goals of the event (e.g., community building, leadership development, spiritual growth).
- Identify key themes and messages to guide session content and flow.
- Develop a Draft Agenda
- Outline the event timeline, including start/end times, breaks, and transitions.
- Allocate time slots for each session, keynote, panel, or activity.
- Balance content types (e.g., workshops, discussions, networking) to maintain engagement.
- Coordinate with Speakers and Facilitators
- Confirm participation of speakers, moderators, and workshop leaders.
- Collect session topics, objectives, and materials from presenters.
- Ensure content supports the event goals and is appropriate for the audience.
- Align Sessions with Event Goals
- Review session topics to ensure they reinforce the core objectives (e.g., fostering fellowship, spiritual growth).
- Adjust or combine sessions as needed for cohesion and impact.
- Plan for Logistics and Technology
- Coordinate room assignments and seating arrangements per session needs.
- Arrange for any technical requirements (AV, microphones, projectors).
- Schedule breaks, meals, and networking time effectively.
- Finalize and Distribute Agenda
- Prepare a clear, detailed agenda for participants, staff, and volunteers.
- Include session descriptions, speaker bios, and timing.
- Share the agenda via email, event app, and onsite materials.
- Prepare for Flexibility
- Build in contingency time for sessions that may run over or under schedule.
- Have a plan for handling last-minute changes or cancellations.
