Purpose
SayPro requires all participants to sign a Training Agreement and Code of Conduct before beginning any formal learning activity to:
- Establish clear expectations for behavior, participation, and outcomes
- Ensure legal and ethical compliance with SayPro policies and national standards
- Protect the integrity of the training environment, both online and in person
- Provide a mutual understanding of roles, responsibilities, and consequences
What It Includes
1. SayPro Training Agreement
A formal contract between SayPro and the participant covering:
- Terms of enrollment (start/end dates, payment if applicable, attendance rules)
- Participant responsibilities (engagement, assessment completion, submission deadlines)
- SayPro responsibilities (content delivery, learner support, access to systems)
- Data protection consent (use of personal information under POPIA/GDPR)
- Withdrawal and refund policies (if applicable)
- Certification conditions (criteria for passing and issuance)
2. Code of Conduct
Outlines behavior standards expected from all learners and staff:
- Professional and respectful conduct toward facilitators, peers, and SayPro staff
- Zero tolerance for discrimination, harassment, or disruptive behavior
- Academic integrity (no plagiarism, cheating, or impersonation)
- Proper use of SayPro systems and resources (no misuse of LMS or IT platforms)
- Confidentiality and data security when handling sensitive information
- Compliance with any industry-specific ethical or legal requirements
Who Must Sign It
- All individual learners enrolling in SayPro courses (online or in-person)
- Corporate teams or employees sponsored by employers
- Trainers, facilitators, and assessors engaged through SayPro
- Any external service providers involved in learner-facing activities
Submission and Storage Process
- Digital Signing via SayPro Portal
- Learners are prompted to digitally sign the forms during account setup or course registration
- SayPro uses secure e-signature tools with timestamped verification
- Manual Signing (if needed)
- Physical copies are made available for in-person training sessions
- Scanned signed copies can be uploaded to the learnerโs profile
- Secure Archiving
- All agreements are stored in encrypted learner records
- Accessible only to authorized SayPro compliance or administrative personnel
