Responsibility: Develop and Review Strategic Plans, KPIs, and Monitoring Frameworks
Purpose:
To ensure that institutional clients and SayPro-supported programs operate with clear direction, measurable objectives, and robust performance management systems. This responsibility focuses on designing and reviewing Strategic Plans, defining Key Performance Indicators (KPIs), and establishing Monitoring and Evaluation (M&E) Frameworks that align with SayProโs values of impact, accountability, equity, and innovation.
Key Responsibilities and Activities:
1. Strategic Plan Development
- Facilitate the co-creation of institutional strategic plans through consultations, workshops, and planning sessions.
- Guide stakeholders in articulating:
- Institutional vision and mission
- Strategic objectives and priority focus areas
- Core initiatives and timelines
- Resource and budget requirements
- Governance and implementation structures
- Align the strategic plan with:
- National development and education strategies
- SayProโs equity and innovation principles
- Global frameworks (e.g., SDG 4, AU Agenda 2063, UNESCO Higher Education frameworks)
2. KPI Formulation and Performance Target Setting
- Identify and define SMART KPIs (Specific, Measurable, Achievable, Relevant, Time-bound) that track success at institutional, departmental, and project levels.
- Categorize KPIs across key thematic areas such as:
- Academic quality and graduate outcomes
- Enrollment, retention, and equity in access
- Institutional governance and financial sustainability
- Research productivity and innovation
- Stakeholder satisfaction and service delivery
- Establish baseline data and performance targets for each indicator.
3. Monitoring Framework Design
- Develop comprehensive Monitoring & Evaluation (M&E) frameworks to track progress, identify risks, and assess impact over time.
- Integrate:
- Input, output, outcome, and impact indicators
- Data collection methods (surveys, institutional reports, audits)
- Reporting timelines and responsibilities
- Feedback loops for adaptive management
- Embed the framework into institutional operational systems and SayProโs online platform for real-time tracking and reporting.
4. Review and Continuous Improvement
- Conduct quarterly and annual reviews of strategic plan implementation using SayProโs institutional dashboard tools.
- Assess KPI performance, flag underperforming areas, and recommend course corrections.
- Update strategic plans and M&E frameworks based on emerging trends, policy changes, or institutional shifts.
- Generate reports and presentations for internal governance bodies and external funders or accrediting agencies.
