Student Recruitment and Onboarding

Focus Area: Begin recruiting students for the program, providing them with information about the available service projects
🔹 SayPro Tasks to Be Done
1. Finalize Recruitment Strategy and Timeline
- Task: Create a comprehensive recruitment plan that outlines:
- Target student groups (by age, school, academic discipline)
- Outreach channels (school presentations, social media, student networks)
- Key recruitment dates and events
- Deliverables: Student Recruitment Strategy Document with calendar and outreach milestones.
2. Develop Promotional Materials
- Task: Design engaging and informative materials to raise awareness and attract student participants.
- Materials to Create:
- Program flyer/poster
- Digital banners for social media and email campaigns
- Student info brochure detailing benefits, expectations, and project options
- Frequently Asked Questions (FAQ) sheet
- Deliverables: Complete promotional toolkit in both print-ready and digital formats.
3. Launch Student Outreach Campaign
- Task: Distribute promotional materials and begin direct outreach.
- Channels:
- Visits and presentations at partner schools, colleges, and community centers
- Social media campaigns (Facebook, Instagram, WhatsApp groups)
- Emails/newsletters through school databases or youth networks
- Goal: Reach at least 200 students during the outreach period.
- Deliverables: Outreach tracker (venue, date, number of students reached, responses).
4. Provide Project Information to Students
- Task: Share detailed descriptions of available service learning projects.
- Project Information Includes:
- Project title and goals
- Community partner involved
- Academic linkage
- Volunteer roles and responsibilities
- Duration and location
- Method: Presentations, handouts, one-on-one Q&A sessions.
- Deliverables: Student Project Catalogue (digital and print versions).
5. Student Expression of Interest (EOI) Form
- Task: Create and distribute an EOI form for students to indicate their interest and preferred project(s).
- Form Content:
- Personal information
- Availability
- Motivation for joining
- Project preference (ranked)
- Distribution Method: Online via Google Forms / paper forms at events.
- Deliverables: Active EOI link/form and collection of all responses for processing.
6. Initial Screening and Shortlisting
- Task: Review student EOIs and begin shortlisting based on:
- Project preferences
- Availability
- Basic eligibility (e.g., school year, location, commitment level)
- Deliverables: Preliminary student placement list by January 25.
7. Prepare for Onboarding Phase
- Task: Begin preparing orientation content and student welcome materials.
- Include:
- Orientation session outline
- Code of conduct and expectations
- Consent forms and agreements
- Basic training plans (e.g., communication, teamwork, community engagement)
- Deliverables: Onboarding Package (to be used in the next phase).
8. Monitoring & Reporting
- Task: Track all recruitment data and assess early trends or challenges.
- Prepare a short report covering:
- Number of students reached vs. number of EOIs received
- Most popular projects
- Key questions or concerns raised by students
- Deliverables: Student Recruitment Status Report – Phase 1
