Key Responsibilities:
- Confirm Participation:
- Reach out to all confirmed speakers, facilitators, and volunteers well in advance to reconfirm their availability, session topics, and roles.
- Provide a detailed schedule and agenda to ensure clarity on timing and expectations.
- Gather Necessary Information:
- Collect biographies, headshots, presentation materials, and any special requirements (AV needs, accessibility accommodations).
- Clarify any technical or logistical needs, including preferred platforms for virtual presentations.
- Facilitate Communication:
- Establish a dedicated communication channel (e.g., email group, messaging app) for ongoing updates and coordination.
- Schedule pre-event briefing sessions or rehearsals to review content flow, technical setup, and participant engagement strategies.
- Provide Resources and Support:
- Share event guidelines, branding requirements, and any relevant policies.
- Offer assistance with presentation preparation, including tips on effective virtual and in-person delivery.
- Ensure volunteers understand their roles and responsibilities clearly.
- Day-of Coordination:
