Organize Parent Feedback via SayPro Feedback Tool


Objective:

To gather feedback from parents using the SayPro Feedback Tool, ensuring the feedback is organized and analyzed to improve services, programs, and overall satisfaction.


Task Breakdown:

Week 1 (February 1st – February 7th):

  • Task 1: Set up Parent Feedback Survey for February in the SayPro Feedback Tool.
    • Goal: Create a comprehensive survey focusing on key areas such as communication, child development, and program effectiveness.
    • Due Date: February 7th
  • Task 2: Send out the Parent Feedback Survey to all parents via email or through SayPro’s communication channels.
    • Goal: Ensure that all parents have access to the survey and encourage participation.
    • Due Date: February 7th

Week 2 (February 8th – February 14th):

  • Task 1: Monitor survey participation and send Reminder Emails to parents who have not yet submitted feedback.
    • Goal: Increase survey completion rate by reminding parents about the importance of their feedback.
    • Due Date: February 14th
  • Task 2:Analyze initial feedback from completed surveys to identify key themes or areas of concern.
    • Goal: Begin reviewing submitted feedback and categorize responses based on common themes.
    • Due Date: February 14th

Week 3 (February 15th – February 21st):

  • Task 1:Generate a Feedback Summary Report from the completed surveys.
    • Goal: Create a summary report highlighting positive feedback, areas for improvement, and suggestions for future actions.
    • Due Date: February 21st
  • Task 2:Meet with the team to review the feedback summary and discuss areas for improvement or action items.
    • Goal: Use the feedback to inform decision-making and improve services provided.
    • Due Date: February 21st

Week 4 (February 22nd – February 28th):

  • Task 1: Share the Feedback Report with parents (via email or SayPro portal) and acknowledge their valuable input.
    • Goal: Show appreciation for the parents’ time and effort in providing feedback and communicate any changes or improvements.
    • Due Date: February 28th
  • Task 2:Implement changes based on feedback, focusing on areas with significant suggestions or concerns.
    • Goal: Start implementing improvements or adjustments to the programs, communication, or services based on feedback.
    • Due Date: February 28th

Q1 (March – May)

March Week 1 (March 1st – March 7th):

  • Task 1: Set up Parent Feedback Survey for March in the SayPro Feedback Tool.
    • Goal: Revise the survey based on February’s feedback to focus on areas for continued improvement.
    • Due Date: March 7th
  • Task 2: Send out March Parent Feedback Survey to parents.
    • Goal: Ensure the survey is distributed and that parents are aware of the new feedback period.
    • Due Date: March 7th

March Week 2 (March 8th – March 14th):

  • Task 1: Monitor participation and send Reminder Emails for the March survey.
    • Goal: Ensure all parents have the opportunity to provide feedback.
    • Due Date: March 14th
  • Task 2:Analyze feedback received from the March survey.
    • Goal: Identify any new trends or concerns that may have emerged from parents’ responses.
    • Due Date: March 14th

March Week 3 (March 15th – March 21st):

  • Task 1:Generate a Feedback Summary Report for March.
    • Goal: Summarize the March feedback and compare it with previous months to track improvements or areas that still need attention.
    • Due Date: March 21st
  • Task 2:Review feedback report with the team and plan for necessary actions.
    • Goal: Use the findings to guide team discussions on implementing improvements.
    • Due Date: March 21st

March Week 4 (March 22nd – March 28th):

  • Task 1: Share March Feedback Report with parents.
    • Goal: Provide transparency on the feedback results and any actions taken based on their input.
    • Due Date: March 28th
  • Task 2:Implement adjustments or changes based on March feedback.
    • Goal: Begin making changes or taking action on feedback for improvement.
    • Due Date: March 28th

Task Review and Updates:

  • Weekly Check-ins:
    Monitor the status of the feedback collection process, ensuring surveys are being sent, reminders are issued, and feedback is reviewed on time.
  • Monthly Report:
    At the end of February and March, provide a report summarizing the feedback trends, common themes, and key actions taken.
