SayPro 📋 Documents Required from Employee (Upload via SayPro Website): GPT Usage Log (Documenting All Prompt Sessions)
- GPT Usage Log: Employees utilizing GPT or any AI-assisted tools for SayPro tasks must complete and upload a GPT Usage Log to document all prompt sessions. This ensures accountability, traceability, and alignment with SayPro’s AI usage policies.
- Purpose of the GPT Usage Log:
- To maintain a clear record of how AI tools are being used in the development of policy content, data generation, or internal documentation.
- To support quality assurance, data protection, and compliance with SayPro’s ethical guidelines for AI usage.
- To evaluate the effectiveness, relevance, and efficiency of AI-generated outputs in real work scenarios.
- Log Content Requirements (SayPro Template must be used):
- Employee full name and department
- Date and time of each session
- Number of prompts generated (e.g., 100 policy prompts)
- Brief description of the session’s purpose (e.g., “Generated prompts for HR policy workshop”)
- Summary of AI output usage (how the content was used, revised, or discarded)
- Notes or feedback on prompt quality or tool performance
- Employee signature and, if required, supervisor review/comments
- Submission Instructions:
- Log into the SayPro website and access the “Document Upload” section.
- Choose the document category “GPT Usage Log”.
- Upload the completed log in PDF format, using this filename convention:
[FirstNameLastName_GPTLog_WeekEndingYYYYMMDD]
(e.g., ThandoNkosi_GPTLog_WeekEnding20250516.pdf)
- Submission Schedule:
- The log must be submitted weekly by close of business Friday or the final workday of the week.
- Employees involved in high-frequency GPT use may be asked to submit additional logs as required by their supervisor or project lead.
