SayPro Data Analysis Guide: Assessing Program Performance
1. Clarify Evaluation Goals
Before starting analysis, define:
- What are we trying to measure?
- What questions are we answering (e.g., effectiveness, efficiency, impact)?
- What key performance indicators (KPIs) are being assessed?
2. Organize the Data
Quantitative Data Examples
- Number of participants enrolled/completed
- Test scores (pre-/post-training)
- Employment outcomes
- Attendance and engagement metrics
- Budget vs actual spend
Qualitative Data Examples
- Feedback from interviews and focus groups
- Open-ended survey responses
- Observational notes
- Case studies and testimonials
3. Analyze Quantitative Data
Techniques:
- Use descriptive statistics (mean, median, percentages)
- Compare baseline vs. post-program data
- Track trends over time (e.g., month-to-month improvements)
- Disaggregate by demographics (age, location, gender, etc.)
Tools:
- Excel or Google Sheets
- Data visualization tools (Power BI, Tableau)
Questions to Ask:
- Are we meeting our targets?
- Are there patterns or gaps in performance?
- Are some groups performing better or worse?
4. Analyze Qualitative Data
Steps:
- Code the Data โ Assign labels to key themes or categories (e.g., โaccess issues,โ โpositive impact,โ โfacilitator qualityโ)
- Group & Compare โ Look for patterns, frequently mentioned topics, and contradictions
- Extract Quotes โ Use direct feedback to illustrate findings
Tools:
- NVivo, Dedoose (for advanced coding)
- Manual coding with spreadsheets or documents
Questions to Ask:
- What are the recurring strengths and weaknesses?
- What deeper insights explain quantitative trends?
- Are there specific quotes or examples that highlight impact?
5. Synthesize the Findings
Combine both data types to create a full picture:
- Example: High dropout rate (quantitative) + participant comments about session timing or digital access issues (qualitative)
Structure findings into categories:
- Program design
- Delivery & facilitation
- Participant outcomes
- Satisfaction & engagement
- Cost-effectiveness
6. Report & Use the Insights
In your report or presentation:
- Use charts and tables for numbers
- Use quotes and summaries for qualitative insights
- Highlight whatโs working well, what needs improvement, and what should change
