To ensure smooth facilitation of interview sessions during the SayPro event and that students are fully prepared, follow this structured plan:
✅ SayPro Interview Facilitation Plan (During the Event)
🎯 Objective:
Ensure that all interview sessions are conducted on time, professionally, and with students fully prepared to engage with employers.
1. Pre-Interview Preparation Station (Check-In & Readiness)
- Designate a Check-In Area: Staff or volunteers should verify student attendance and interview times.
- Distribute Interview Schedules: Hand out personalized schedules or ensure students can access them digitally.
- Prep Students: Offer a quick prep zone with:
- Resume copies
- Notepads and pens
- Mints, water, or touch-up items (mirror, tissues)
- Coach Briefing: Provide students a 2-3 minute last-minute briefing on:
- Employer background (if available)
- Common questions to expect
- Elevator pitch reminders
2. Interview Session Logistics
- Venue Setup:
- Clearly labeled employer booths or interview rooms.
- Time slots visibly displayed at each station.
- Quiet space with minimal distractions and good lighting.
- Time Management:
- Assign timekeepers to keep sessions on track (e.g., 15–30 mins per interview).
- Provide 5-minute and 1-minute reminders using visual or soft verbal cues.
- Rotation Plan: If doing multiple rounds, announce transitions and direct students to their next employer.
3. Technical Support (If Virtual or Hybrid)
- Platform Setup: Ensure interview platforms (Zoom, MS Teams, etc.) are tested and working.
- Tech Assistance On-Site: Have support staff ready to troubleshoot connectivity, audio/video, or scheduling issues.
- Backup Plan: Keep phone numbers or alternative contact methods in case tech fails.
4. Support for Employers
- Host Welcome Kit: Provide employers with their schedule, student resumes, Wi-Fi access, and contact list of SayPro coordinators.
- On-Site Liaison: Assign a SayPro staff member to each employer or group of employers to assist with:
- Student no-shows
- Extra interview slots
- Break needs
5. On-the-Spot Issues Handling
- No-Show Protocol: Offer alternates or drop-in students if someone misses their slot.
- Student Nerves: Have peer coaches or staff give encouragement and basic tips if students appear anxious.
- Schedule Conflicts: Maintain a live version of the master schedule and be flexible with reassignments.
6. Feedback Collection (Live)
- Provide employers with quick forms (digital or paper) to jot down:
- Candidate impressions
- Interest in follow-up
- General comments
- Allow students to record their thoughts and impressions immediately post-interview to support later follow-up.
7. Closing Each Session
- Wrap-Up Announcements: Keep sessions on time and alert students to upcoming interviews or breaks.
- Thank Employers & Students: Briefly thank participants at the end of each session to maintain a professional tone.
