For In-Person & Online Sessions
In-Person Sessions
Audio & Visual Setup
- Microphones (lapel, handheld, or podium as needed)
- Speakers/PA system functioning properly
- Projectors/screens with correct resolution
- Backup cables, adapters (HDMI, VGA, USB-C, etc.)
Presenter Equipment
- Laptops or devices preloaded with presentations
- Slide clicker/remotes available
- Internet access for presenters if required
- Charging stations or extension cords
Recording & Streaming
- Camera setup for session recording (if applicable)
- Streaming tools (Zoom, MS Teams, etc.) tested
- Microphones linked to camera feed if recording audio
Attendee Support
- Onsite tech support staff scheduled
- Printed signage for Wi-Fi access, QR codes for materials
- Clear instructions for accessing hybrid or virtual elements
Online Sessions (Live or Pre-recorded)
Platform Setup
- Sessions scheduled in the event platform (Zoom, Hopin, etc.)
- Speaker links and access credentials sent in advance
- Backup links and support contacts provided
Tech Check with Speakers
- Test speaker audio, video, and screen sharing
- Ensure proper lighting and backgrounds
- Encourage use of wired internet for stability
- Provide virtual backgrounds or branded templates if needed
Content Preparedness
- Slides uploaded in advance to the platform (if needed)
- Handouts shared via chat or file sections
- Polls, Q&A, or engagement features enabled
Live Support
- Tech moderator assigned to each session
- Live support chat or hotline for attendees and speakers
- Recording enabled (if permitted)
Final Pre-Event Technical Run-through
- Full rehearsal with key sessions (hybrid especially)
- Walkthrough of AV, streaming, and platform functions
- Final checklists confirmed with venue and tech partners
