Position Title: Documentation and Process Reporting Assistant โ Menu Development
Role Summary:
As part of the SayPro Learning Program, participants are required to take on the role of a Documentation and Process Reporting Assistant during their menu design and development activities. This role involves thoroughly recording the entire workflow, from prompt creation to the final menu draft, ensuring transparency, accountability, and replicability of the process. Clear and structured documentation is essential not only for learning assessment but also for developing real-world professional habits in content creation and project delivery.
Key Responsibilities:
- Recording Prompt Wording:
- Accurately document the exact wording used for each GPT prompt.
- Provide context or intent behind each prompt (e.g., โThis prompt was designed to generate healthy breakfast options for a vegan menu.โ).
- If multiple prompt variations are used for refinement, each version must be recorded and labeled clearly (e.g., Prompt 1A, 1B, etc.).
- Archiving Output Samples:
- Save and organize all GPT-generated output in a structured format (e.g., spreadsheets, Word documents, PDFs).
- Annotate or highlight useful, modified, or rejected entries within the output for evaluation and discussion.
- Ensure that each output sample is linked to the specific prompt that generated it.
- Versioning the Menu Drafts:
- Maintain and document all iterations of the menu design, noting key changes between versions (e.g., updates to layout, pricing adjustments, changes in category structure).
- Clearly label each menu version (e.g., Draft 1, Draft 2 โ Reviewed, Final Version).
- Include brief notes explaining the rationale behind each major update or design decision.
- Using SayPro-Approved Documentation Formats:
- All process documentation must be recorded using SayPro-approved formats and templates available on the SayPro platform.
- Ensure proper file naming conventions, version control practices, and consistent formatting are followed.
- Summarizing Workflow Steps:
- At the end of the activity, submit a written or digital summary outlining the overall process from idea to final product.
- This includes:
- Initial objectives
- Prompt development strategy
- GPT output evaluation
- Menu layout process
- Final presentation decisions
- Preparing for Evaluation or Peer Review:
- Organize all documentation into a single, clearly labeled folder for submission.
- Ensure the file set includes:
- Prompt archive
- GPT output samples
- Draft menus (with notes)
- Final menu version
- Process summary report
Performance Expectations:
- Maintain accurate, organized, and complete documentation of the end-to-end process.
- Ensure all submitted files are clean, professional, and ready for review by mentors, evaluators, or peers.
- Demonstrate critical thinking and reflective practice in explaining decisions made during the menu creation journey.
Skills and Competencies Required:
- Strong attention to detail and ability to organize digital files methodically.
- Clear written communication skills for summarizing processes and rationales.
- Familiarity with cloud-based tools, document formatting, and version control practices.
