SayPro Post-Event Follow-Up Task: Analyze the Data Collected to Assess Satisfaction Levels and Success Rates

Objective:
To evaluate the effectiveness of the event by analyzing the feedback data collected from students, employers, and other stakeholders, identifying key satisfaction indicators, and measuring the overall success of the event.

Detailed Breakdown of Tasks

  1. Organize and Clean the Data
    • Compile Responses: Consolidate all survey data into a manageable format (e.g., spreadsheet or data analysis tool like Excel, Google Sheets, or a survey platform like SurveyMonkey).
    • Remove Invalid or Incomplete Responses: Filter out responses that are incomplete or irrelevant (e.g., blank surveys, duplicate submissions).
    • Group Data by Participant Type: Separate the feedback from students and employers for clearer analysis.
  2. Quantitative Data Analysis
    • Calculate Average Satisfaction Scores: For questions that use rating scales (e.g., 1-5, 1-10), calculate the average score to gauge overall satisfaction.
      • Example questions could be: “How satisfied were you with the event’s networking opportunities?” or “Rate the overall event experience.”
    • Identify Trends and Patterns: Look for any trends that indicate areas of strength or weakness. For example:
      • Did students rate the event’s networking opportunities highly but give lower marks for event organization?
      • Did employers express satisfaction with the quality of student interactions but suggest improvements in event logistics?
    • Determine Success Metrics: Based on pre-set success criteria (e.g., number of internships offered, number of meaningful connections made), measure the success rate.
  3. Qualitative Data Analysis
    • Categorize Open-Ended Responses: Read through the open-ended feedback (e.g., “What did you like most about the event?” or “What could we improve?”) and categorize common themes or comments.
      • Group feedback into areas such as:
        • Networking opportunities
        • Event logistics
        • Speaker/panel quality
        • Follow-up support
    • Highlight Positive and Negative Feedback: Identify and summarize key positive and constructive comments to highlight areas of success and areas for future improvement.
  4. Create Data Visualizations
    • Use charts, graphs, or pie charts to visually represent key findings (e.g., satisfaction levels, common themes in feedback, etc.).
      • For example:
        • A bar chart to show the percentage of students who felt confident in securing internships after the event.
        • A pie chart displaying the percentage of employers who plan to offer internships as a result of the event.
    • Visuals help communicate the data more clearly, especially when sharing results with stakeholders.
  5. Write the Event Evaluation Report
    • Summarize Key Findings:
      • Provide a clear, concise summary of the data, highlighting key success factors and areas for improvement.
      • Include both quantitative data (e.g., ratings) and qualitative insights (e.g., comments).
    • Assess Event Goals: Reflect on how the event met its goals (e.g., number of internships offered, participant satisfaction).
    • Provide Recommendations: Based on the analysis, provide actionable recommendations for future events (e.g., improve session timing, increase employer variety, offer more career preparation resources).
  6. Share the Report with Stakeholders
    • Distribute the evaluation report to key stakeholders (e.g., event organizers, employers, sponsors, SayPro leadership).
    • Present the findings in an easy-to-digest format, highlighting areas where the event excelled and areas for improvement.
