SayPro Post-Event Responsibilities: Tasks

Create and Distribute Surveys to Collect Feedback from Participants on Their Experience with the Event

1. Design the Feedback Survey

  • Determine Key Focus Areas: Decide on the specific areas you want feedback on, such as event content, speakers, technical quality, and overall satisfaction. Make sure the survey questions cover the most important aspects of the event.
    • Example Focus Areas:
      • Event content and relevance
      • Speaker effectiveness and engagement
      • Technical performance (for virtual participants)
      • Networking opportunities
      • Overall event satisfaction
  • Include Both Quantitative and Qualitative Questions: Create a mix of multiple-choice, Likert scale (rating), and open-ended questions to gather both measurable data and detailed insights.
    • Example Questions:
      • On a scale of 1 to 5, how would you rate the overall event experience?
      • What was the most valuable part of the event for you?
      • How satisfied were you with the eventโ€™s virtual platform or in-person logistics?
      • Was there anything about the event that did not meet your expectations? Please elaborate.
      • Do you have any suggestions for future topics, speakers, or improvements?

2. Choose a Survey Tool

  • Select an Easy-to-Use Survey Platform: Use a survey tool like Google Forms, SurveyMonkey, or Typeform to create and distribute your survey. Choose one that allows for easy analysis and data collection.
    • Example Task: “Set up a survey on [Google Forms/SurveyMonkey/Typeform] and create the survey using the questions above.”

3. Distribute the Survey

  • Send the Survey via Email: Include the survey link in your post-event thank-you email. Make the survey easily accessible by ensuring the link is prominently displayed.
    • Example Task: “Create and send a thank-you email with the survey link. Encourage attendees to complete the survey to help improve future events.”
  • Set a Deadline: Specify a clear deadline for completing the survey to encourage timely responses. Offer a reasonable time frame, such as 1-2 weeks after the event.
    • Example Task: “In the email, mention the deadline for the survey completion (e.g., ‘Please complete the survey by [date]’).”

4. Encourage Participation

  • Explain the Importance of Feedback: Let participants know how valuable their feedback is in shaping future events and improving their experience.
    • Example Task: “In the email, explain that feedback will be used to improve future events and that their input is essential to making SayPro even better.”
  • Optional Incentives: If appropriate, consider offering an incentive, such as a discount on future events or exclusive content, to encourage more participants to complete the survey.
    • Example Task: “Offer a small incentive, like an entry into a raffle for a gift card or exclusive event content, to increase survey responses.”

5. Track Survey Responses

  • Monitor Survey Responses: Check the survey responses regularly to ensure a sufficient number of participants are completing it.
    • Example Task: “Track survey submissions and send a reminder email if responses are low a few days before the survey deadline.”

6. Analyze the Survey Results

  • Review the Data: After the survey deadline, analyze the responses, focusing on key insights such as overall satisfaction ratings, recurring feedback on specific sessions or speakers, and any suggestions for improvement.
    • Example Task: “Export the survey results and review the responses. Highlight recurring themes and insights.”
  • Identify Actionable Insights: Based on the feedback, identify areas that require improvement or topics that were especially appreciated by participants.
    • Example Task: “Create a summary of key takeaways and action points from the survey responses, focusing on suggestions for improving the next event.”

7. Share the Results Internally

  • Distribute Feedback to the Team: Share the feedback with the SayPro event team, speakers, and facilitators to review the event’s strengths and areas for improvement.
    • Example Task: “Prepare a summary of the survey results and present them in a team meeting. Discuss actionable steps for improvement.”

8. Report Back to Participants (Optional)

  • Share Key Findings with Participants: Consider sending a follow-up email to participants thanking them for their feedback and sharing some of the key findings or improvements that will be made for future events.
    • Example Task: “Send a follow-up email to participants summarizing the survey results and how their feedback will be used to improve future events.”

9. Use Feedback for Future Event Planning

  • Incorporate Feedback into Future Events: Use the insights from the feedback to improve your next event’s content, logistics, and overall structure.
    • Example Task: “Use participant suggestions to adjust session formats, improve virtual platform performance, or increase networking opportunities for the next event.”
