Tasks: Coordinate with in-person staff to ensure the event venue is ready and equipped with all necessary tools (AV equipment, seating, etc.).

1. Venue Walkthrough:

  • Inspect Venue Layout: Schedule a walkthrough of the venue with key in-person staff to assess the space. Confirm that it is suitable for the number of attendees, including enough seating, room for movement, and adequate breakout areas.
  • Check Accessibility: Ensure that the venue is accessible to all participants, including those with disabilities. This includes wheelchair access, appropriate signage, and clear pathways for ease of movement.
  • Confirm Room Assignments: Ensure that rooms for different sessions, workshops, and breaks are properly assigned and clearly marked. Confirm that facilitators know where they are presenting.

2. AV Equipment Setup:

  • Audio Equipment: Confirm that all microphones (wireless, lapel, handheld) are functioning properly. Ensure there are enough microphones for presenters, panelists, and audience interaction (if applicable). Test all speakers and microphones to ensure audio quality is clear and at appropriate volume levels.
  • Video Equipment: Ensure projectors, screens, and video equipment (if necessary) are available and properly set up. Test the connections and quality of displays in all rooms to ensure clear visuals for attendees.
  • Presentation Equipment: Ensure that laptops, presentation clickers, and any other devices needed for speakers to control their presentations are available and working properly.
  • Backup Equipment: Prepare backup AV equipment, such as additional microphones, cables, projectors, and power sources, in case of technical issues during the event.

3. Seating Arrangements:

  • Appropriate Seating Configurations: Coordinate with the in-person staff to set up seating arrangements according to the type of session. 4. Lighting and Environment:
