SayPro Pre-Event Responsibilities: Online and Offline Logistics

Tasks: Test all virtual communication tools (audio, video, screen-sharing) to ensure smooth operation.

1. Audio Testing:

  • Test Audio Devices: Ensure all microphones (both built-in and external) and speakers/headphones are functioning properly. Have speakers and facilitators check their devices to confirm there’s no distortion or background noise.
  • Volume and Clarity: Adjust audio levels so that the sound is clear and at an appropriate volume. Test in different environments to account for changes in acoustics (e.g., different rooms or background noise).
  • Test Connectivity: Verify the internet connection is stable for smooth audio transmission. If possible, use a wired connection instead of Wi-Fi to reduce the likelihood of dropouts or interruptions.
  • Audio Testing with Participants: Do a dry run with a few test participants to ensure that the audio quality holds up when multiple people speak or when background noise occurs.

2. Video Testing:

  • Camera Check: Test all cameras to ensure they provide clear and sharp visuals. Verify that all speakers and facilitators are positioned properly in front of the camera, ensuring proper lighting and framing.
  • Lighting Setup: Ensure that all participants, especially speakers and facilitators, have adequate lighting to prevent shadows or unclear video. Recommend participants position themselves in a well-lit area.
  • Video Quality: Test the platform’s video quality to ensure smooth streaming. Check for potential lag, freezing, or poor resolution, especially if multiple participants have their cameras on.
  • Test Multiple Devices: Confirm that video works across different devices such as laptops, tablets, and smartphones to account for participant preferences.
  • Virtual Backgrounds: If virtual backgrounds will be used, ensure that they are set up correctly and do not interfere with the speaker’s visibility (e.g., cutting off parts of the person).

3. Screen Sharing Testing:

  • Test Screen Sharing Functionality: Ensure that facilitators and speakers can share their screens smoothly. Test sharing presentations (e.g., slides), documents, videos, or websites, making sure the quality is maintained without lag or distortion.
  • Screen Sharing Options: Verify if the platform allows sharing specific windows or the entire screen, and that users can switch between content seamlessly (e.g., switching between PowerPoint slides and a web page).
  • Test Content Compatibility: Check that videos or multimedia content embedded in shared presentations display correctly with sound and no lag. Confirm that links within shared documents work properly.
  • Testing with Multiple Participants: Conduct a test run with several people involved in the sharing process to ensure everyone can share their screen when needed, and that the system handles multiple shared screens without lag.

4. Breakout Room Functionality (if applicable):

  • Breakout Room Testing: If breakout rooms will be used, test their functionality to make sure facilitators can easily assign participants and manage the room. Ensure that breakout room features are user-friendly for both facilitators and attendees.
  • Audio and Video in Breakout Rooms: Ensure that participants have access to audio and video in breakout rooms and that these features work as expected. Test the process of moving between rooms.
  • Participant Movement: Confirm that the platform allows easy transitions between breakout rooms and that participants can rejoin the main session without issues.

5. Interactive Tools Testing (Chat, Q&A, Polls):

  • Chat Functionality: Ensure that the chat feature is working smoothly for both public and private messages. Test whether moderators can manage chats (e.g., mute/unmute, remove inappropriate messages, or disable chat if needed).
  • Q&A Feature: Test the Q&A functionality to ensure that attendees can submit questions and that facilitators or moderators can respond properly. Verify the visibility and filtering settings for questions.
  • Polls and Surveys: Test the platform’s polling capabilities to ensure polls can be created and responses are collected in real time. Ensure that results are displayed correctly and that polling is seamless during sessions.

6. Platform Settings and Configuration:

  • Check User Permissions: Review and test participant permissions to ensure moderators can control who speaks, shares screens, or joins the session. Test settings for host and co-host control over the session.
  • Security Settings: Ensure that necessary security settings (e.g., passwords, waiting rooms, and participant registration) are in place to protect the event and manage access effectively.
  • Test Recording Functionality: Ensure that the platform’s recording feature works and that it captures audio, video, and shared content without interruptions or quality loss. Confirm that recorded content is easily accessible after the event.

7. Test Platform Across Multiple Devices:

  • Cross-Device Testing: Test the platform’s functionality on various devices such as desktops, laptops, tablets, and smartphones to ensure compatibility across different platforms and screen sizes.
  • Mobile Experience: Confirm that the platform’s mobile app or mobile web version works well, with video and audio functioning correctly, and that interactive tools like chat or polling are accessible.

8. Technical Rehearsals:

  • Dry Run with Speakers and Facilitators: Schedule a dry run for all event facilitators, speakers, and moderators to ensure they are comfortable with the platform’s features, including screen sharing, chat, and other interactive tools.
  • Role-Playing Test: Have all involved parties role-play parts of the event (e.g., presentation, Q&A, panel discussion) to identify any issues that might arise with the platform and address them in advance.
  • Troubleshooting Practice: Test out common troubleshooting techniques in advance, such as how to quickly resolve audio/video issues, manage technical problems with screen sharing, or help participants join the session if they have trouble accessing the platform.

9. Verify Attendee Experience:

  • End-User Testing: Have a few attendees join as test participants to experience the event from their perspective. Ensure they can easily access sessions, use interactive features, and participate in polls or Q&A.
  • Usability Review: Assess the platform’s user interface and flow to ensure it is intuitive for participants. Test how easy it is for attendees to find the session links, interact with other participants, and join breakout rooms or discussions.

10. Final Check and Confirmation:

  • Confirm All Tools are Working: Double-check that all virtual communication tools—audio, video, screen sharing, chat, polls, and breakout rooms—are working flawlessly before the event. Ensure all configurations are set up correctly.
  • Final Rehearsal: Conduct a final test a day before the event with all key participants involved, confirming that all technical issues have been resolved and everyone is confident in using the tools.
  • Backup Plan: Prepare a backup plan for common issues (e.g., audio failure, video delays), including alternative communication channels like phone numbers or secondary video platforms, in case something goes wrong during the live event.

By thoroughly testing these aspects, you’ll ensure a smooth virtual experience for both speakers and participants, minimizing technical difficulties during the event.
