Objective:
To maintain accurate and up-to-date inventory records for SayProโs corporate branded clothing line by working closely with the clothing team. This collaboration ensures seamless stock management, efficient order fulfillment, and reliable availability of branded apparel across the SayPro platform.
Key Duties and Tasks:
- Coordinate Regular Inventory Reviews:
- Schedule routine check-ins with the Corporate Branded Clothing team to review current inventory levels.
- Compare physical counts of branded clothing items (e.g., t-shirts, uniforms, jackets, caps) with digital records to identify any discrepancies.
- Ensure all new product designs, sizes, colors, and styles are correctly cataloged and visible in the system.
- Update Inventory Databases Accurately:
- Input stock changes resulting from new shipments, employee distributions, sample usage, or promotional giveaways.
- Reflect real-time inventory status on SayProโs internal systems and external platforms (if integrated) to avoid stockouts or overpromising availability.
- Maintain detailed entries for each item, including product codes, descriptions, size ranges, and branding details.
- Document and Track Clothing Orders:
- Assist the Corporate Branded Clothing team in logging internal or external orders of apparel.
- Monitor the movement of items from storage to dispatch and update inventory counts accordingly.
- Record bulk orders made for events, campaigns, or new employee onboarding to track usage patterns.
- Ensure Data Consistency Across Departments:
- Standardize item names, SKU codes, and categories to align with other inventory areas in SayProโs systems.
- Coordinate with the IT or platform management team to sync changes across platforms (e.g., website storefront, CRM, procurement systems).
- Ensure consistent branding and information accuracy in clothing listings for customer-facing platforms, if applicable.
- Collaborate on Forecasting and Restocking:
- Provide the Clothing team with reports on fast-moving or low-stock items to support timely reorders.
- Participate in planning sessions to forecast demand for specific items based on historical data, upcoming events, or organizational growth.
- Help identify slow-moving items for promotional use, clearance, or donation.
- Monitor Quality and Compliance:
- Ensure that items added to the inventory database meet SayProโs corporate branding standards and quality specifications.
- Flag any defective, outdated, or discontinued items and assist the clothing team in removing or updating their status in the system.
- Generate and Share Inventory Reports:
- Create weekly or monthly reports summarizing current stock levels, item movement, order history, and restocking needs.
- Share these reports with key stakeholders including procurement, HR (for uniform distribution), and marketing teams.
Performance Indicators:
- Accuracy and timeliness of branded clothing inventory records.
- Reduction in stock discrepancies or order fulfillment errors.
