SayPro Required Documents / Application Information
To ensure a smooth and standardized evaluation process, all applicants must submit a complete Submission Package as part of their entry into the SayPro program or competition. The following guidelines outline what is required, how to prepare your materials, and how to submit them.
1. Submission Package Format
- The Submission Package must be compiled into a single PDF document.
- PDF format is strongly recommended to maintain the integrity of the document layout and ensure compatibility across all devices and platforms.
- The file must be clear, legible, and professionally presented.
2. Components of the Submission Package
A complete Submission Package typically includes the following components, unless otherwise specified by the specific program or competition:
a. Cover Page
- Title of the project or entry.
- Full name of the individual or group.
- Contact details (email, phone number).
- Date of submission.
b. Applicant Information
- Personal or group profile, including:
- Full name(s)
- Date(s) of birth (to confirm age eligibility)
- Nationality
- Address(es)
- Email and phone number
- Occupation or professional background
- Group entries must include information for each member and designate a team leader/primary contact.
c. Project Description
- A clear and concise summary of the project, proposal, or creative work.
- This should include:
- Objectives
- Target audience or problem addressed
- Proposed impact or outcome
- Methods or approach used
d. Original Work Statement
- A declaration confirming that the submission is:
- Entirely original
- Created specifically for SayPro
- Free from plagiarism or copyright infringement
- A signed statement or digital signature is acceptable.
e. Supporting Materials (if applicable)
- Any visuals, designs, photos, charts, storyboards, or relevant attachments that support the submission.
- Multimedia links (e.g., to videos or prototypes) should be provided via secure and accessible hyperlinks.
- All supplemental materials must be clearly labeled and referenced in the main document.
f. CV or Résumé
- A brief professional summary for each individual (for group submissions, one for each member).
- Highlight relevant experience, education, and skills.
g. Consent and Agreement
- Signed acknowledgment agreeing to SayPro’s rules, terms and conditions, and data usage policies.
- Consent forms for minors (if under 18), signed by a parent or guardian, where applicable.
3. File Naming Convention
- Your submission file should be named in the following format:
SayPro2025_LastName_FirstName_ProjectTitle.pdf
(For groups: use the team leader’s name)
4. Submission Method
- All Submission Packages must be uploaded through the official SayPro online portal or sent to the designated email address provided in the call for entries.
- Late or incomplete submissions may not be considered.
5. Confirmation of Submission
- Applicants will receive a confirmation email upon successful receipt of their Submission Package.
- If confirmation is not received within 48 hours, applicants should follow up via the designated contact channels.
