SayPro Responsibilities: Upload Finalized Modules and Learning Content to the SayPro LMS


1. Preparation of Finalized Learning Materials

  • Content Finalization: Ensure that all course modules, lessons, assessments, and supplementary materials have been reviewed, approved, and finalized by the relevant curriculum development teams and subject matter experts.
  • File Integrity Check: Verify that all files (e.g., PDFs, videos, slide decks, SCORM packages) are complete, virus-free, and properly named according to SayPro’s file naming conventions.
  • Standardization: Confirm that all content adheres to SayPro’s formatting guidelines, branding requirements (e.g., logos, font styles), and accessibility standards (e.g., alt-text for images, subtitles for videos).

2. LMS Platform Preparation

  • Course Shell Creation: Coordinate with the LMS administrator to ensure that the course shell or learning environment for each module is created and properly configured (e.g., course title, description, structure).
  • User Roles Assignment: Define and assign user roles (e.g., facilitators, learners, assessors) within the LMS to enable proper access controls and workflow management.

3. Uploading Learning Content

  • Content Structure Setup:
    • Organize modules into logical sections (e.g., Weeks, Units, Topics).
    • Set up navigation menus, progress tracking elements, and interactive timelines as required.
  • Upload of Core Content:
    • Upload lesson materials such as readings, presentations, interactive activities, and videos.
    • Ensure file sizes and formats are optimized for web delivery (e.g., compressed videos, embedded documents).
  • Integration of Learning Activities:
    • Add quizzes, assignments, discussions, and polls where applicable.
    • Configure question banks and automatic grading settings if supported by the LMS.

4. Testing and Quality Assurance

  • Functional Testing: Test all uploaded content to ensure:
    • Links work correctly.
    • Media files load and play without issues.
    • Quizzes and activities function as intended.
    • Navigation is intuitive and user-friendly.
  • Cross-Device Compatibility: Verify that content is accessible across different devices and browsers (desktop, tablet, mobile).
  • Accessibility Review: Ensure compliance with SayPro’s accessibility standards (e.g., screen-reader compatibility, use of accessible fonts and colors).

5. Content Tagging and Metadata Entry

  • Descriptive Tags: Apply appropriate tags and keywords (e.g., subject area, skill level, target audience) to make content easily searchable within the LMS.
  • Metadata Fields: Complete metadata such as author, version number, upload date, and intended learning outcomes.

6. Permissions and Visibility Settings

  • Access Control: Configure visibility settings for learners, facilitators, and administrative staff according to course requirements.
  • Release Scheduling: Use LMS tools to schedule content availability (e.g., unlock Module 2 after completion of Module 1).
  • Completion Criteria: Set up rules for module completion, certificate issuance, or progression tracking.

7. Documentation and Reporting

  • Upload Log: Maintain a log of all uploaded materials, including filenames, upload dates, and version numbers.
  • Issue Reporting: Document any technical issues encountered during the upload process and report them to the LMS support team.
  • Confirmation of Upload: Notify relevant stakeholders (e.g., course manager, instructional designer) once the upload is complete and ready for review.

8. Continuous Updates and Maintenance

  • Content Refresh: Monitor and update content regularly to reflect curriculum changes, policy updates, or learner feedback.
  • Backup and Version Control: Keep backup copies of all uploaded content and maintain version control to track updates or corrections.
