Objective:

To maintain momentum, ensure alignment, promptly address challenges, and adapt plans as needed through regular, structured communication with all team members involved in SayProโ€™s projects and campaigns.


I. PURPOSE OF WEEKLY CHECK-INS

  • Progress Tracking: Monitor the status of assigned tasks against deadlines and goals.
  • Issue Identification: Surface any obstacles, delays, or resource gaps early.
  • Collaboration: Foster open communication and team cohesion.
  • Adjustments: Make timely modifications to plans, priorities, or resource allocation based on current realities.
  • Motivation: Keep the team engaged, focused, and accountable.

II. PLANNING AND SCHEDULING THE CHECK-INS

1. Set a Regular Day and Time

  • Choose a consistent day and time each week that works for all or most team members.
  • Consider time zones and availability, ensuring key staff, volunteers, and contractors can attend.
  • Aim for a duration of 30โ€“60 minutes to keep meetings focused and productive.

2. Select the Meeting Format

  • Virtual meetings via video conferencing (Zoom, Microsoft Teams, Google Meet) for remote or hybrid teams.
  • In-person meetings if the team is co-located.
  • Use shared digital platforms for agenda and notes (Google Docs, Notion, or project management tools).
